Refund Policy

At Kids Dental Clinic, LLC, we stand behind the quality of our care. This Refund Policy outlines the circumstances under which refunds or credits may be issued for services rendered. We encourage you to contact us directly if you have any concerns — we are committed to resolving them fairly and promptly.
1. 30-Day Satisfaction Guarantee
If you are not satisfied with a service received at Kids Dental Clinic, LLC, you may request a review or refund within 30 calendar days of the date of service. We will evaluate each request individually and work with you to reach a fair resolution, which may include re-treatment at no charge, a partial refund, or a practice credit.
2. Eligible Services
- Preventive services (cleanings, fluoride treatments, sealants) — eligible for review within 30 days if there is a documented clinical concern.
- Restorative treatments (fillings, crowns) — eligible for re-evaluation and re-treatment within 30 days if there is a documented material failure or clinical deficiency.
- Consultation fees — refundable in full within 30 days if no treatment was rendered.
- Prepaid treatment plans — any unused balance is refundable within 30 days of the initial payment.
3. Non-Refundable Services
- Appointment cancellation fees charged due to less than 24 hours notice are non-refundable.
- Services where the patient or guardian declined recommended follow-up care that contributed to the outcome are not eligible for refund.
- Insurance co-payments and deductibles paid to us on behalf of the insurance company are non-refundable, as these are collected on behalf of third-party payers.
- Services rendered more than 30 days prior to the refund request.
4. How to Request a Refund
- Contact our office within 30 days of the date of service via phone at (301) 528-8685 or by email at deepali@kidsdentalclinic.co.
- Provide your name, the patient's name, the date of service, and a brief description of your concern.
- Our patient care coordinator will review your request and respond within 3 business days.
- Approved refunds will be processed within 7–10 business days to the original payment method.
5. Insurance Overpayments
If an overpayment is received from an insurance company, we will notify you promptly and issue a refund to the appropriate party — either the insurance carrier or the patient — within 30 days of identifying the overpayment. This is in accordance with Maryland State regulations governing dental practice billing.
6. Refund Method
- Refunds are returned to the original payment method whenever possible.
- Credit card refunds typically appear on your statement within 5–10 business days, depending on your card issuer.
- Check payments will be refunded by check mailed to the address on file within 10 business days.
- Practice credits are available as an alternative and do not expire.
7. Exceptions and Disputes
We approach every concern with genuine care and professionalism. If you feel your refund request was not handled fairly, you may request escalation to the practice owner, Dr. Deepali D Bhanot, at deepali@kidsdentalclinic.co. We are committed to resolving all disputes in a timely and equitable manner.
8. Changes to This Policy
Kids Dental Clinic, LLC reserves the right to modify this Refund Policy at any time. Any changes will be effective immediately upon posting to this page. The "Last Updated" date will reflect the most recent revision.
